It is more cost efficient for a business to operate a comprehensive maintenance programme than suffering the costs of unscheduled repair/maintenance and vehicle downtime thus maximizing vehicle uptime and minimising costs. Through routine inspections and servicing, fleet managers can help to guarantee that vehicles are in good working condition for the tasks ahead.

PVS Maintenance Management is a carefully devised process providing a totally outsourced maintenance scheduling and implementation service for organisations operating a fleet of any kind, and of any size.

Scheduled maintenance and servicing reduce vehicle down time and the PVS planning controls ensure full compliance with regard to scheduled events. The key to successful control is in carefully constructed and monitored planning controls. With PVS this means monthly, quarterly, and yearly planning controls are devised and implemented in advance.

Detailed Planning

When managing a new customer, one of the first tasks is to fully understand the intricacies of the existing fleet. PVS creates a detailed plan, sensitive to the operational demands of the business, complete with scheduled service dates for all vehicles. This includes a 3-month servicing plan for those vehicles whose servicing is overdue or pending. PVS also generates a rolling flexible 3-month service plan for all remaining vehicles. These are booked in by the team, with the chosen servicing organisation, 3 months in advance.

Expansive Service Network

Access to a widespread and dependable Service Network enables us to provide depth and flexibility to dovetail with the operational and driver needs. Service organisations are carefully sourced to minimise driver downtime through excess travelling and reduce costs.

Live Data Access

A servicing plan is created for the first three months for those vehicles with overdue or pending servicing. Drivers are contacted and pre-warned of servicing days and through discussion, the best day for servicing is identified. PVS then book the vehicle in for that day with the servicing organisation 3 months in advance. PVS keep the driver up to date with regular and current information concerning the servicing progress. PVS garner up to the minute information to understand how long the vehicle will be in garage. Excessive delays will encourage PVS to use any spare vehicles, so the driver is not ‘out of service’ for too long. PVS sends reminders to the garage through the Fleetcheck app as a push notification. This will be done monthly, 14 days, 7 days, 1 day before the due service date. PVS update the service planner and schedule the service for the following year or when the mileage dictates.

The main tools incorporated are:

  • A Service planner - created detailing the scheduled service dates for all vehicles. Manufacturer service schedules may differ, but all dates are manufacturer specific.
  • Greater vehicle operating efficiencies - achieved through proactive vehicle servicing. Utilising service opportunities for minor repairs will reduce vehicle down time and increase efficiency.
  • Relief vehicle - can be provided at vehicle servicing events. This is incorporated within the PVS vehicle servicing planning process and leads to increased business efficiencies.
  • All classes of MOT are available.
  • Warranty work and recalls - the process, via the modification to the V5, enables all-unscheduled warranty work and recalls will be forwarded to and managed by PVS. Once a requirement is identified, it is simply added to the process for SMR planning. This will provide the necessary support for the vehicle and driver.
  • Sustainability and environmental considerations - all organisations involved in servicing and repairs will be checked to ensure they are operating best practices in order to minimise global environmental impact.
  • Live data access - allows the tracking of vehicles at any time.
